How information is handled when you browse this website, contact zenfai or use the optional Gmail connector in the desktop app.

zenfai is operated by Antony, an individual developer. This policy covers this website, information you send for a consultation or pilot, and the optional Gmail connector in the zenfai desktop app. Use the contact link below for privacy and deletion requests.
The Gmail connector is currently in invited testing. This policy does not mean that Google has verified the app or that the desktop app is available for public installation.

The public workspace contains synthetic sample files. Opening a sample does not upload your files or generate a new result. Hosting and technical analytics providers may process request and performance information when the site is used.

The current consultation page prepares an email draft or copies request text. You review and send it from your own email app; preparing or copying it is not a submission to zenfai.
A request may include your name, email, company and task description. Only include information you are comfortable sharing. Private files are not needed for the first conversation.

Contact details and task descriptions you send are used to respond, discuss scope and support the requested work. Pilot materials may include approved templates and representative business files, shared through an agreed channel.

Gmail is optional. You connect an account through Google's authorization page. zenfai requests permission to read mail and permission to manage drafts. Google's draft permission also includes sending mail; the current connector only creates a reply draft after you review its recipient, subject and text and confirm saving it. It does not send mail.
The read permission covers your mailbox, but the app does not continuously synchronize your inbox. It retrieves search results when you search and the content of a message when you select it. Data can include your connected email address, message and thread identifiers, sender and reply addresses, subject, date, message text and attachment names and metadata. A selected PDF attachment is downloaded when you choose to prepare a quotation from it.

Searching and previewing Gmail messages does not send their content to a model. Choosing to process an inquiry adds its sender, subject, date, body and attachment names to the desktop conversation. The configured model receives the information needed for that task, including this conversation content. If you choose a PDF for a quotation, relevant extracted text or page images may also be sent to the configured model services.
A cloud model processes this information outside your device. Desktop delivery does not mean that all processing stays local. The model services, processing locations, retention and permitted use of inputs and outputs must be agreed for your setup before company or Gmail data is processed. Changing a model or service can change those arrangements. Gmail access tokens are not supplied to the model.
The current test setup uses a configurable model service. This policy does not promise zero retention, a particular processing region or a provider-wide exclusion from training without a corresponding agreement for that service. Selected inquiry content is used to organize requirements, identify missing information, prepare replies and quotation drafts, and continue the task you requested. Reply text is sent back to Gmail only when you confirm saving a draft. The current connector does not sell Gmail data, use it for advertising or contain a model-training function.
Google user data is subject to the Google API Services User Data Policy, its Limited Use requirements and the Google Workspace API User Data and Developer Policy. Before public release, the model-service arrangements and safeguards must meet those requirements. Test access is not an exemption from Google's data-use policies.

The desktop app stores account credentials and cached source messages using operating-system-backed encryption. API connections to Google use HTTPS. Credentials are kept separate from model prompts.
After you process a message, copies of its content may also exist in local conversation history, task records, imported PDFs and generated documents. These working files are not all encrypted by the application. Device access controls, disk encryption and backup settings also affect their protection. Do not interpret encrypted credentials as encryption of every working file.

Website hosting, email, technical analytics and agreed pilot processing may involve third-party services. Google handles account authorization and Gmail storage. The configured model services handle task inputs and outputs when you request processing. Those services may process data in countries other than your own; the actual services and locations are part of your setup's data-handling arrangements.
Gmail sign-in does not by itself send your mailbox to a zenfai-operated mailbox server. If you ask for troubleshooting and choose to share a file or diagnostic record with Antony, share only what is needed. Do not send account credentials or private customer files in an initial support request.

Disconnecting Gmail clears the app's local account tokens and stops its Gmail requests. It does not erase previously previewed message caches, conversations, imported attachments or generated documents, and it does not remove drafts already saved in Gmail. You can also revoke zenfai's access from your Google Account's third-party connections page.
The current desktop version has no automatic expiry for these local working records. Deleting a conversation removes that conversation record, but does not also delete every associated cache, task record, exported file or backup. To request help removing all local copies, contact Antony using the link below. Copies you exported, device backups and Gmail drafts need to be managed separately.
Model-provider copies are governed by the agreed service retention and deletion arrangements; clearing local history cannot erase a provider's copy. Use the contact link below for help with a provider-related request. Discussion and pilot materials sent to Antony are retained for the requested work and support, subject to applicable legal obligations; you may request correction or deletion.
